When Should You Replace an Excel Solution with Software?

Short answer

When multiple people are working on it simultaneously, when no one knows which file is the current one, when formulas are only understood by one person, or when an error could cause real damage. As long as one person is working alone and an error is harmless, Excel is perfectly fine.

Excel Is Not the Problem

Spreadsheets are an excellent tool – for calculations, evaluations, and prototypes. They only become a problem when they turn into a business-critical application without anyone deciding so.

The Five Warning Signs

1. Multiple People, One File

As soon as two people want to work simultaneously, copies are created. Angebote_final_v3_NEU_Korrektur.xlsx is the classic final state.

2. No One Knows the Status

If the question "Is this the current version?" is asked regularly, the threshold has been crossed.

3. One Person Understands the Formulas

Classic personnel risk. If this person is unavailable, the process comes to a halt.

4. No Log

Who changed what value and when? Excel does not answer that. This is a real problem for prices, contracts, or personal data.

5. An Error Costs Money

A misplaced formula in a price calculation often only becomes apparent when offers are out.

The Affordable Intermediate Step

Not every Excel solution needs its own application. Often, it is sufficient to have:

  • a database with a simple interface for data entry
  • evaluations still in Excel, via export

This solves the multi-user and version problem at a fraction of the cost of a complete application.

What Is Important When Transitioning

The spreadsheet usually contains more knowledge than any documentation: special cases, exceptions, rules that no one has ever written down. Before replacing it, someone should go through the file with the person who built it. Otherwise, the new application may lack exactly what made the old solution useful.
