When Should You Replace an Excel Solution with Software?

Excel is not the Problem

Spreadsheet applications are excellent tools – for calculations, analysis and prototypes. They become problematic only when they are used as business-critical applications without anyone having decided that.

The Five Warning Signs

1. Multiple People, One File

• a database with a simple interface for data entry
• analysis continues in Excel via export

This resolves the multi-user and versioning problem at a fraction of the cost of a full application.

What Matters During Migration

The table usually contains more knowledge than any documentation: special cases, exceptions, rules that no one has ever written down. Before replacement, someone should go through the file with the person who created it. Otherwise, the new application will lack exactly what made the old solution useful.
