How does the e-invoice get into DATEV?

Short answer

Via DATEV interfaces, which take over structured invoice data along with the document image. The crucial point is that not only a PDF is transferred, but the structured data – otherwise the office would still have to re-enter the data, and the advantage of the e-invoice would be lost exactly where it is greatest.

The Difference

Only document image: The office sees the invoice and enters it. As before, but digitally.

Structured data: Amount, tax rate, date and invoice number arrive as fields and can be automatically pre-checked. This is the real benefit.

What needs clarification

  • Which path does your office use – and does it support structured data?
  • Can your invoicing program handle this path?
  • Who archives audit-proof: You or the office?

The third point is often overlooked. The storage obligation lies principally with you, even if the office books it.

What helps in practice

Uniform document numbers between your system and the accounting. Otherwise a search arises with every inquiry.

Cost centers and accounts preferably already during entry, not retroactively in the office.

Clear agreement on who claims faulty invoices.

Upon receipt

Incoming e-invoices can be automatically checked, digitally approved and forwarded with the structured data. This eliminates the detour via printing, signing and scanning – which makes up the largest amount of time in many companies.
